Activity Request Form (ARF)
The Activity Request Form (ARF) is required for all student organization activities, regardless of location, size, or whether university funding is being requested. This includes general body meetings, tabling or information sessions, on-campus and off-campus events, and gatherings of any scale—from small group meetups to large campus-wide programs.
All student organizations are expected to complete an ARF, including sorority and fraternity chapters as well as departmentally sponsored student groups.
Submitting an ARF is a key step in the event planning process. It ensures your event is visible to the campus community, aligns with University policies, and receives the appropriate support from the Center for Student Engagement and relevant campus partners to help ensure its success.
Where to Submit ARF?
You can find the ARF on LUCommunity, the central platform for student organization management. Once you log in, go to your organization’s page and you’ll be able to complete and submit the form directly online.

What Kinds of Activities Require an ARF?
An ARF is required for any activity hosted by a student organization, even if the event doesn’t involve university funding or room reservations on campus. This helps us support you and ensure your event is safe, successful, and in line with University policy.
Common activities that require an ARF include but not limited to:
- General body meetings
- Guest speakers or lectures
- Performances or showcases
- Social events or mixers
- Service projects or volunteer events
- Tabling or information sessions
- Fundraisers or donation drives
- Off-campus outings or trips
- Events involving food or catering
- Tournaments
Timeline to Submit the ARF
To ensure adequate time for review and coordination, please submit your ARF according to the following timelines:
- At least 14 days prior.
- At least 4 weeks prior if your activity involves:
- A contract (e.g., performer, speaker, vendor)
- Additional liability, including but not limited to:
- Blood drives
- Event with alcohol
- Involvement with vulnerable populations (e.g., minors, at-risk individuals)
These timelines ensure that staff have enough time to assess risk, review contracts, and coordinate with necessary campus departments.
Submitting your ARF late may result in your event being postponed or canceled. Planning ahead helps ensure your event is approved, supported, and successful.
After You Submit
Once your ARF is submitted, it will first be reviewed by our team of trained student staff. We kindly ask for your patience during this process, particularly during busy periods like the start of the semester, when request volume is high, and during exam season. Our student team works diligently to keep things moving efficiently, but delays can occur when many requests come in at once.
After this initial review, your ARF may be routed to CSE staff or other university departments for additional approvals, depending on the nature of your event. To help keep your event on track, we strongly encourage you to submit your ARF early and to check your LUCommunity notifications and email regularly. If we need any additional information or clarification, someone from our team will follow up with you directly. You will be able to see the steps of review by going to “My Surveys/Forms” Under “My Activity” as well.
Making Edits to Your ARF
If you need to make changes to your submitted ARF, the process depends on whether or not it has already been approved:
- If your ARF has already been approved:
You can go to your organization’s page on LUCommunity, click “Events” to view any approved events, identify the approved event and select “Edit Event.” - If your ARF has not been approved yet:
Please email us and request for the form to be released for editing. Once it’s been released, you’ll be able to find it under your LUCommunity account by going to “My Surveys/Forms” and selecting the relevant ARF to make your changes. Contact information based on your student organization type can be found below.
Making timely edits helps ensure your event stays on track and accurately reflects your plans. Please do not make last-minute changes, as we will not have adequate time to review and approve the changes.
Important Notes
As you continue to plan your events, please note that:
- Student organizations are prohibited from hosting any events, programs, or meetings during University breaks, holidays, University wide events, finals, and the summer.
- Review Student Organization Handbook and availabilities on 25Live Pro closely to be aware of dates organizations cannot host events and activities.
- The final permitted programming date for any given semester is the Sunday following the last day of classes.
- The University prohibits the following types of activities: Eating contests, raffles, date auctions, fundraising at (or with) a bar/tavern, and other events at the discretion of the Center for Student Engagement.
