Registration and Transcripts
Registration
Prior to your departure on an exchange/direct-enroll or affiliate program, the Study Abroad Office (SAO) will register you for the study abroad indicator course in LOCUS. The indicator course is called INDS 300X Foreign Study. The number of credit hours associated with it will be determined by your answers to the credit hour questionnaire in your GoGlobal application. If you do not respond, we will default your registration to 15-credit hours for semester programs and 3-credit hours for summer programs. If you are a MAP or Pell grant recipient, please be sure to complete the questionnaire to avoid complications with the amount awarded for your study abroad term.
You will remain enrolled in that indicator course for your study abroad term. This indicator course is just a placeholder that holds your spot as a full-time Loyola student. The placeholder may not be a reflection of the actual amount of credit you will receive for your program. This will get adjusted once your transcript is received after your program.
Registration Dates
- Summer Term – April 1
- Fall/Academic Year Terms – July 1
- Spring Term – December 1
MAP Information
The MAP Grant award amount is an estimate made by the Financial Aid Office and is identified as a "State of IL MAP Grant (Est)." Please be aware that the number of available MAP Grants is limited by funding levels approved by the Illinois General Assembly and the Governor, and reductions to estimated or actual MAP Grants are possible. Eligibility for a MAP grant is tracked by the equivalent number of semester credit hours of MAP benefits paid on your behalf. This is called MAP Paid Credit Hours. Payment for each term is being made according to the equivalent number of credit hours eligible for MAP payment, with a minimum of 3 and a maximum of 15 MAP Paid Credit Hours. If you are enrolled in fewer than 15-credit hours, your award will be prorated.
All study abroad semester students will be registered for a default 15-credit hour registration hold. If you are a MAP grant recipient, and you choose to take less than 15-credit hours abroad, you need to notify the Financial Aid Office and your Study Abroad Advisor. If you take fewer credit hours abroad than your MAP grant award, you may be required to pay back any additional aid at the end of the term.
Transcripts
Before you leave your study abroad program, you must request that your transcript be sent directly to the following:
Study Abroad Office
ATTN: Jack O’Halloran
Loyola University Chicago
Sullivan Center, Suite 206
1032 West Sheridan Road
Chicago, IL 60660
The host university or affiliate program may also send the transcript electronically via secure transfer to SAOtranscripts@luc.edu
Transcripts can take one to three months to arrive in the Study Abroad Office after your program ends. Some universities abroad may take longer to issue transcripts or may only release them at specific times of the year.
It is your responsibility to follow up with your program and ensure that your official transcript is sent to the Study Abroad Office.
Reference our Academic Policies and Procedures page to understand more about transcript processing and Pass/No Pass policies.
Once your transcript arrives:
- The Study Abroad Office will process your transcript for Loyola credit and grades, not transfer credit.
- Your received transcript is uploaded to your GoGlobal portal under documents and into LOCUS for you to view and reference.
- The SAO posts your grades and credit hours exactly as they appear on the transcript received. Courses will only be articulated for Pass/No Pass credit if there is a form on file with SAOtranscripts@luc.edu and passnopass@luc.edu.
After your courses, credit hours, and grades are published:
- Your academic advisor will receive an email notification.
- Your academic advisor will articulate your courses as Loyola equivalent courses or degree requirements based on your approved course approvals.
- Your academic advisor or the Study Abroad Office can inform you if your transcript has been received and if your grades/credit has been articulated and published.
The entire transcription process can take approximately three months. If you need your transcript processed for graduation, please email SAOtranscripts@luc.edu and they will do their best to support your request.
